Insert a Word document into OneNote Notes

With Microsoft OneNote you can insert a Word document into your Notebook as an attachment. If you update the Word document, you can see those changes in the Notebook with just a few clicks. Here’s how.

First, launch OneNote and open the notebook into which you want to insert a Word document. If you haven̵

7;t created a Notebook yet, you can do so by choosing File > New from the menu bar.

Then click on the “Insert” tab. There are three options in the “Files” group, but we will only use two of them. In Windows, those options are called “File Print” and “File Attachment”. If you’re using a Mac, you’ll see “PDF Print” and “File Attachment.”

“File Attachment” inserts a link pointing to the original file. “File Print” (or “PDF Print”) inserts a link and also adds the contents of the file to your note.

What the last two options do is take a snapshot of the content (exactly how it would look if you printed it – hence the name “Print”) and insert it as an image. Both “PDF Print” and “File Print” work the same way. However, “PDF Print” is limited to PDFs only. Since this topic covers inserting a Word document, we don’t use “PDF Print”.

In our example, we’ll use ‘File Print’. So on the “Insert” tab, click on “Print File”.

A link to the original file and the printout will appear in the Notebook.

Attachment and Print in Notebook

You cannot edit the contents of the printout directly in OneNote itself. You have to update it directly in the source file. After updating the source file, you can update the printout in your Notebook to reflect the changes by right-clicking the document link and choosing “Refresh Print” from the context menu.

The contents of the printout are refreshed to reflect the current contents of the original file.
