What’s New in the Fall 2020 Update of Outlook 365 for Mac

Microsoft Outlook 365 received a nice update for Mac in the fall of 2020. In addition to an improved look, new and improved features were added. With everything from a customizable toolbar and better search to the ability to snooze emails, let̵

7;s take a look at everything new in Outlook 365 for Mac.

Try the new Outlook

If you already have Microsoft Outlook Fall 2020 Update (16.42 (20101102) or later) installed, you can easily switch to the new look. In the top right corner of the window, next to the ‘Search’ box, turn on the toggle for ‘New Outlook’.

Confirm that you want to switch to the new look by clicking on ‘Switch to New Outlook’.

Once you switch, you can still go back to the previous version. Just turn off the “New Outlook” switch and confirm that you want to switch back.

If you don’t see the switch, you can update Outlook on Mac by clicking Help> Check for Updates in the menu bar. Select the “Check for updates” button.

Customize your toolbar

Include only those buttons you need and want in the Microsoft Outlook toolbar. Click on ‘Show more items’ (three dots) in the toolbar and choose ‘Customize toolbar’.

Drag buttons from bottom to top to add them, or reverse to remove them from the toolbar. Click “Done” when you are done.

Enjoy Advanced Search

If you find yourself searching or often receiving emails from certain people on certain days, you will like the improved search functionality in Outlook. Now powered by Microsoft Search, you get better search results and suggestions.

Click in the “Search” box to find what you are looking for. You will find that you can still use filters and select a mailbox or folder.

View your Office 365 Groups

When using Mail or Calendar in Microsoft Outlook, you can see all your Office 365 groups in the sidebar. Just click on “Groups” to expand the list and choose the one you need. Click again to collapse Groups again.

Reply or forward emails in the same window

If you use the Reply, Reply to all, or Forward options for an email, you can add it to your message in the same window instead of a new window. This keeps everything nice and tidy without the need for a brand new Compose window.

Ignore conversations

Do you want to delete one or two emails, including new ones arriving from the same person? You can ignore conversations with one click. Select ‘Ignore Conversation’ from the toolbar, message menu or Message shortcut menu. E-mails that you have already read or that arrive later are automatically deleted.

Tip: If you don’t see the “Ignore Conversation” button, use the Customize your toolbar steps above to add it.

Snooze emails

Is it one of those days when you get way too many Outlook notifications? Snooze them!

Select an email, then click “Snooze” in the toolbar at the top of the window. Choose a time frame and you will receive that email at the specified time in your inbox as an unread message.

If you don’t see the “Snooze” button, use the Customize your toolbar steps above to add it.

New views for events

You have two new views for your schedule in Mail and Calendar with the updated Outlook for Mac application.

In Mail you will see “My Day”, which contains your agenda for the current day. Simply click on the “Task Pane” or View> Task Pane button in the menu bar.

In Calendar, you can use a concise three-day calendar view. Click the drop-down menu at the top and choose ‘Three days’.

In addition to major updates to Mail and the few mentioned here for Calendar, you’ll find a few other improvements in Outlook Calendar.

  • Meeting Insights: Outlook suggests emails and files you may need for upcoming events in your schedule.
  • Improved event planning: Improvements help you make Calendar events more efficient. Use time slots, add details and view participant availability in a single window.
  • Improved Event Response: Stay in the same place when responding to an event invitation. Whether you accept, decline, or propose a new time, you don’t have to leave the invitation.
  • Status working elsewhere: Instead of Busy or Free, you can mark yourself as Work Elsewhere.

In addition to a much improved look, Outlook 365 for Mac offers some great features. If you try and have an idea, click Help> Suggest a feature in the menu bar to share your suggestion with Microsoft.
